You can add a File Referral via Referrals > Right-click > Add. To add a File Referral the following Information must be entered:
- File – File Type and File Number to be referred i.e. Document (Folio Attachment) or Cabinet.
- Referred To – The user or users to which the item is being referred to, the user may also refer an Item to them self.
Step-by-step guide
To add a file referrals:
- Select the file type (Folio/Cabinet) and enter/locate their number.
- Enter the the Resource No of the users you want to refer the items to.
You can refer to more than one users by entering their Resource No. separated by a semi-colon (;) and without any space.
On the Select Resource lookup, to refer an item to multiple users, select and use Shift + Click or Ctrl + Click to select multiple users.
The user can refer an item to self as well. - Enter the referral reason. Selection list is defined by Parameter Type ‘RR’ indicating why the item is being referred.
- Select the priority as Low, Normal or High. Referrals default to a Normal priority. Priority is indicated in the grid in the ‘Referral Priority’ column by means of an icon. Normal priority referrals have no icon, High Priority referrals have a red exclamation and Low Priority referrals have a blue downwards pointing arrow .
- Select the Letter of Instruction. This links to a Folio detailing instructions for the referral, accessible from the context menu ‘Connect to Letter of Instruction’.
- Enter any remarks to the referral user.
- The generally used at the end of the referral process as a signal for the person sending the Folio/Cabinet externally – how it should be sent (e.g. by post / email / fax etc). Though this is completely open to interpretation, and controlled by the Referral Delivery Method (REFI parameter).
