Where a client has overpaid the total invoice amount and you want to show this overpayment as a credit on the matter, see the steps below.
If the client would like a refund for the overpaid funds, see the Overpayment and Refund to Client page for the procedure.
Steps
Enter the Cash Receipt as per normal in the Cash Receipt Allocation screen. When you are at the allocation screen, allocate the amount to the invoice like you normally would. This will leave a balance that is to be allocated in the Receipt Allocation Screen.
You need to enter in the matter number again, select the invoice and allocate the overpayment to that invoice and when you get to the allocation screen, enter in the amount in the Fees field.
This will then create a negative debtor balance on the matter and under Matter Menu > Debtors > Unpaid Items will show the credit.
When you are ready to use that credit on the matter for another invoice; you select the credit invoice > right click > Reallocate credits.
You can then change the amounts in the Fees and GST fields to allocate to the new invoice accordingly.
