Enter Cash Receipt Allocation Details

Before you start:

  1. Enter Cash Receipt Payment Details.

To Enter Cash Receipt Allocation Details:

  1. After you enter cash receipt payment details and click 'OK' in the input cash receipts form, the cash receipt allocations form displays with some fields automatically populated. Complete the remaining fields and click 'Allocate'. For help completing the fields, see Table 10: cash receipt allocation field explained and Table 12: error messages for cash receipt allocations.


  2. Each time you click 'Allocate' the details for each receipt display in the grid.

    Once the allocation amounts in the grid equal the total receipt amount, LawMaster generates a receipt that you can print if required. Otherwise, it prompts you to enter another allocation line. If a previously entered allocation line is incorrect, you can delete it (see Delete an allocation) or cancel the receipt completely.

    Note: LawMaster highlights any invalid form entries with a red exclamation mark. Hover your mouse over the exclamation mark to see an explanation. Correct any invalid entries and retry.


Next you can:

  1. Review cash receipts
  2. Print cash receipts
  3. Save the receipt to Word

Allocation TypeThe cash receipt allocations form prompts you to enter a series of transactions allocating the full amount of the receipt. LawMaster supports two groups of receipts: trust account receipts and general receipts. Select from the following allocation types: 
  • M - Matter: Debtors: matter debtor receipts. 
  • C - Matter: Costing: matter cost credit, refund of matter disbursement advances. 
  • G - Non-Matter G/L account: general-non-matter receipt, direct allocation to a general ledger costing account. 

Visible for trust bank accounts only: 
  • T – General: Direct receipting of trust funds against a matter 
  • P - Investment Principal: principal monies from investment paid back into trust. 
  • I - Investment Interest: interest received from investment paid into trust. 
  • L - Law Society Deposit: law institute receipt of deposit. Law Institute receipt of deposit.

Debtor ACRead-only field automatically populated.
MatterThis field is used for matter related items and is active when one of the following allocation types is selected: 
  • M - Matter: Debtors: the lookup form displays matters using the received from details entered in the cash receipt payment details form. 
  • C - Matter: Costing 
  • T – General 
  • P - Investment Principal 
  • I - Investment Interest 
  • L - Law Society Deposit 

If the receipt is for a matter where unpaid creditor disbursement outstanding is not equal to 0, LawMaster displays an alert. This option is only invoked if your system administrator has set the parameter flag “Prompt for unpaid creditor disbursements” to Y.

Debtor BalanceRead-only field automatically populated.
ClientRead-only field automatically populated. Only available for certain allocation types.
Apply to InvoiceThis field is automatically populated if you entered an invoice number in the received from type field in the cash receipt payment details form; otherwise enter the invoice number to which the matter general receipt applies.

Notes:
  • This field is only visible for the allocation type M - Matter: Debtors. 
  • To add interest to the invoice, see add interest to an invoice. 
  • To apply a credit card surcharge, see apply a credit card surcharge 
Interest Date toRead-only field automatically populated.
Trust Fund TypeThis field is only visible for trust receipts and the following allocation types: 
  • T – General 
  • P - Investment Principal 
  • I - Investment Interest 
  • L - Law Society Deposit

Leave blank for T- General allocation type or enter the purpose or use of the fund for e.g:
  • Barristers fees 
  • Payment of invoice 
  • Deposit monies 
  • Part payment of invoice 
  • Stamp duty 
  • Settlement money 
MINEnter the matter investment number (MIN). This field is only visible for allocation types: 
  • P - Investment Principal 
  • I - Investment Interest

You can also: on your keyboard, with the field active press F5 to select from the lookup.
GL CodeEnter the general ledger account number to which the receipt is allocated. This field is only visible for allocation type: G - Non-Matter G/L account otherwise, it is automatically populated based on the bank account and allocation type.
DetailsFor the following all allocation types, enter the receipt or fund type: 
  • M - Matter: Debtors 
  • G - Non-Matter G/L account 
  • T – General P - Investment Principal 
  • I - Investment Interest 
  • L - Law Society Deposit

For the allocation type C - Matter: Costing, enter the disbursement code.

Notes:
To enable LawMaster to generate the narrative, system administrators set up:
  • The parameter type "CE" (Accounting Parameters >Receipt Narrative Code) for all transaction types except “MC”. 
  • For the transaction type “MC”, this must be the relevant matter disbursement code, defined for “DC” parameters (Matter and Client Parameters >Disbursement Codes).
AmountEnter the total amount to allocate


You can also: Enter a cash receipt transaction from Main Menu > Accounting > Cash Receipting > Processing > Cash Receipts Input.

If Prevent Debtors is ticked in the Accounting Processing Options parameters and the amount allocated is greater than the debtor balance (debtor A/C + GST on debtor A/C) then LawMaster only allows the amount allocated, to be that sum, otherwise it allocates the full amount and if necessary creates an unallocated cash invoice with the ZZZZZZZZZ number.
