Digital Signature on a Bill

Problem

How can I put an electronic (digital) signature on my Bill?

Solution

LawMaster provides you with a facility to digitally sign a document once it has been finalised. Digitally signing a document will prevent another user from amending a document, enabling the original author of the document to track any changes made.

  1. After you finalise a bill (Folios > select the bill > context menu > Finalise), the application prompts if you want to sign the attachment. You can then select the location of your scanned signature from your system (if setting for the first time) or the system fetches from the location you selected the first time you attached a digital signature.
  2. Ensure that the <> tag is set up in your template/form for the application to replace with the selected scanned image:
    1. Go to Main Menu > System Maintenance > Forms > Forms Enquiry
    2. Select the bill form you want to add the signature too
    3. Right click on it and select Edit
    4. Add the exact letters <> where you want the signature to appear. We recommend that you add the <> tag in a clear or white font colour so that if you choose to not digitally sign the document, which replaces the tag with your signature image, the tag will not appear on any published or client-facing documents.

ℹ️  You can disable the digital signature functionality by unticking the Prompt for digital signature? checkbox found in Parameters > Set Parameters > Records Management > Processing Options. When this checkbox is unticked, LawMaster will not ask if you would like to digitally sign a finalised document, and a signature will not appear on the final document.
