You were working on a document that you regularly saved, but now that you look in LawMaster the document is not the most up to date.
Step-by-step guide
There are two scenarios:
- The updated document was checked back in to LawMaster, but now the document checked out is not the updated document.
This option is unlikely and usually occurs when there has been an issue with the server and a restore has been done. - The updated document was never checked back into LawMaster or the original document was checked in over the updated one.
With option 1)
- If you host your own database and DMS your IT should be able to have a look at the backups of the DMS and retrieve the updated file.
- If LawMaster hosts your DMS then please contact the helpdesk (https://helpdesk.lawmaster.com.au) with the matter number and Storage ID of the folio in question and the date and time you are hoping to get a restore of the DMS.
With option 2) there are 2 possible places that copies of the updated document might reside on a Users PC:
- C:\Users\<<Windows user name>>\AppData\Roaming\LawMaster\PracticeManagement\<<LawMaster Database name >>\<<LawMaster username>>\checkout\Folio0<<Folio Storage ID>> Where :
- <<Windows user name >> is the Windows username the user uses to login to the PC in question
- <<LawMaster Database name >> is the LawMaster database name
- <<LawMaster username>> is the username the user uses to login to LawMaster
- <<Folio Storage ID>> is the unique storage ID of the folio attachment in question.
To retrieve the Folio Storage ID:- Go to the folio in question in LawMaster
- Make sure the Storage ID column is visible:
- To do this right click on the column header and select Column Chooser, then drag the relevant column from the list to the column header

- Microsoft Words Auto recovery folder. The location of this folder can be found by going to Word > File > Options > Save
If the updated document is still available it should be found in one of those 2 locations.
Your IT might also have scheduled backups of those folders in which case I suggest contacting them to help look into restoring these files.
NOTE: There is no guarantee that the version of the file you are after will be found in those locations
There are some common causes for the version of the document on LawMaster's DMS to not be the latest version:
- The user uses the Save As option in Word. This will result in the required changes not being uploaded to LawMaster.
- The user opens the file as read-only from LawMaster and then makes changes. This will result in the required changes not being uploaded to LawMaster.
- The document is a very large document and not sufficient time is left from checking it back-in to reopening it.
- The user leaves LawMaster open overnight and then edits a document clicking past on-screen errors. This too will result in the required changes not being uploaded to LawMaster.
LawMaster must be closed and reopened overnight especially after 10 pm and midnight when the end of day processes are run. - End of month is run and users are logged out by admin but users don't actually close LawMaster on their machine and they ignore error messages. This will result in the required changes not being uploaded to LawMaster.
- Opening multiple instances of LawMaster and not closing all of them and starting again before adding or editing folios can result in the required changes not being uploaded to LawMaster.
- Anti-virus stopping updates of the Word document. All sorts of unforeseen consequences can happen as a result of this.
- 3rd party version control software interfering with the active instance or Word. This too can have unforeseen consequences but the 3rd party application might have a backup of each version.
- Up to and including the Sweden release the file name of the folio is too long for Windows / Office to be processed. Making sure a short Precis is used for the folio can overcome this limitation in Windows and Office applications.
IMPORTANT: LawMaster doesn't automatically make backups of the document on the user's local machine or on the server
