To make changes to folio attachments, use Edit Attachment from the context menu. During this process, the folio attachment is checked out for editing in the Document Management System, which means that a copy will be brought down locally to your PC and the folio record is locked from editing by other users.
Steps
- From LawMaster, edit a folio document.
- Make any changes.
- Save and close the file.
- Depending on the folio attachment file type, it will check in to LawMaster automatically, or you must select Check Out > Check In from the context menu. See below for a list of file types.
Auto Check-in
The file types detailed below will check in to LawMaster automatically after you close the file:
- .ppt
- .pptx
- .rtf
- .xlsx
- .doc
- .docx
The following will check in automatically if the Auto Check-in Non-MS Office Files checkbox is ticked:
- .msg
The Auto Check-in Non-MS Office Files checkbox is found in Menubar > Parameters > Set Parameters > Records Management > Processing Options. A greyed-out text field is displayed to show the file types supported for auto check-in, e.g., .pdf. When enabled, LawMaster will automatically check in any documents of the specified file type shown in the field below the checkbox.
The Auto Check-in Non-MS Office Files checkbox is available in LawMaster version Canada R2 and later. On upgrade to Canada R2, the parameter will be disabled, and file type textbox will include .pdf by default
However, you must also ensure that the application you use to view the file is whitelisted. Currently these are:
- Adobe Reader
- Acrobat Pro
- Foxit Reader
- Foxit PhantomPDF Business
All other file types, such as image files and outlook emails, must be checked in manually after you have closed the file.
If the user closes LawMaster or if Windows crashes before closing any opened PDF files, Auto Check-In will not occur. Also, if a PDF document has password protection, you must manually check the PDF back in to LawMaster following closing.
Changing the Wait Time Before a PDF Automatically Checks Back in to LawMaster After Editing
If the Auto Check-in Non-MS Office Files checkbox is ticked and auto check-in is enabled, the Wait Time (in seconds) parameter specifies the length of time in seconds that LawMaster will wait before automatically checking back in any folio documents that are of the file type in the accompanying box. This time starts from when a user selects edit in LawMaster. For example, if the field is set to 30 seconds when the user selects edit, then closes the file after 2 seconds, LawMaster will wait another 28 seconds to check in the file.
A minimum value of 30 and a maximum value of 300 is allowed. The default value is 30 seconds. This may need to be increased where users experience slowness when opening .pdf files.
To change the length of time before auto check-in occurs update the parameter and then reset the login settings
