Deleting Duplicate Entity (Combining)

If you have duplicate entities you can combine them so that only one entity remains and all relevant data is retained. 



Step-by-step guide 


In effect what you do is search for the entity you want to combine (delete), then choose 'Combine with another Entity' from the Context Menu (right click). 

For example, if you wanted to 'delete' the duplicate entity FU000633M, you search for this entity then right click, select Combine with another Entity and then search for the target entity that is to be retained and input their identifier in the 'Combine Entity' dialog box. 


NB: this assumes you have the security rights to delete entities.

Combining Entities 


An Entity may be combined with another Entity with the former Entity being deleted from LawMaster. All related records of the Entity being combined ‘from’ are updated with the current ‘to’ Entity identifier with the exception of the Billing Entity. These are deleted. An entry is logged to the ‘Entity log’ file to signify the operation performed. 


If there are any duplicate Attributes (the same name) contained in the two Entities then the Attribute with the most recent action date is used, and the other one discarded. 


IMPORTANT – Select the Entity to be combined (deleted) first and then choose Combine Entity from the Context Menu. Enter the Identifier of the Entity, the selected Entity is to be combined with in the New Identifier field. After OK is pressed the selected Entity will be deleted and all data with the exception of that listed above will be held in the remaining Entity as specified in the New Identifier field. 


When combining from an Entity that is part of one or more Joint Entities the user is prompted to review the Joint/Plural Entities of which it is a member. If the user selects yes, each joint entity that the individual entity is a member of will be sequentially displayed for review, allowing the user to update the joint entity salutations appropriately. 


When combining two Entities, in the absence of any notes on the Entity that is to be removed, a notation on the combined entity is added as follows: 


Entity [Old Entity Id] was combined on [Date & Time]
