Issue:
LawMaster is not prompting (No floating file note for a duplicate email) for an existing email been already saved into LawMaster.
How it works?
All emails added into LawMaster from Outlook have a hash calculated when saved, to uniquely identify each email.
Existing emails will not have a hash calculated.
When saving an email the system looks for a message with the same hash, sent within 4 hours before or after the send time of the message being saved.
This 4 hour grace period is used to compensate for delivery delays, local clock discrepancies, Outlook cached mode, etc. It is also used to strengthen the hash function so collisions over a long period of time are less likely.
In the past we have seen this issue stem from the use of the Microsoft Defender 'Safe Links Policy' for Office 365 which essentially scans any URL's in a email to double check it is not pointing to a malicious website.
This scan can alter the hash that is generated for the email which then results in it passing the duplication check so the notification will not get displayed.
Please Note: we do not recommend disabling Safe Links Policy, you need to discuss this with your IT.
Also, in the past it has been observed that where a user had the same issue when a user is dragging an email from a shared mailbox and LawMaster was not prompting for a 'Duplicate Email'
Your IT needs to recreate the RDS profile of the user in question and it should resolve this issue.
